Our Workflow

Ensuring our engineers have the most accurate and up-to-date information is paramount to how we operate as a business. Using contemporary work-flow systems allows us to book in and update jobs seamlessly providing total visibility to the latest information for all employees and optimised for mobile use.

 

Additionally, Health and Safety inspections, Risk Assessments and Method Statements are built into each unique job reference which will not allow the employee to progress until their safety and the safety of others has been considered and ensuring compliance with H&S regulations.

 

This platform  provides us with the ability to retrieve data from   completed inspections, generate bespoke maintenance reports instantly which can be sent over to clients at any time, access  ‘before and after’   photographs of any work undertaken or for requested for quotations, and provide a robust training platform ensuring  all employees are fully equipped to deal with any task.

On completion of any task, whether  partial or full, the employee  updates via his mobile or handheld device with photographs, work progress and maintenance reports and any costs incurred.   This is immediately available to office staff providing the ability to update clients on work progress or completion seamlessly and swiftly.  

How Our Workflow Works

 

On receipt of a new maintenance issue, the process of booking in and dealing with the issue is as follows

  • Details of the maintenance issue is received from the client

  • The new job is booked into our internal workflow and a unique reference number generated.  This is cross referenced with the clients own reference number.

  • Where a quote is required, this is prepared in a formal report with photographs and complete costings breakdown and forwarded to the client to await their acceptance instruction.

  • Acceptance is received with a Work Order from client.

  • Job booked into our work schedule and client updated with date of attendance.

  • Necessary parts & materials are sourced in advance of attendance.

  • Our engineer attends site to undertake the job, completing a full & concise report with ‘before and after’ photographs and videos.

  • A full report is sent out to the client, followed by invoice for works completed.

  • The job is then closed, unless re-attendance is required, and  archived for future reference.
